01Overview

Scattered trackers, one scattered picture.

Incubator teams were tracking startups through scattered Excel trackers, email threads and periodic review meetings. Financials, milestones, grant disbursements, mentor engagements and investor conversations each lived in a different place.

02The problem

A lot of effort, and warnings that came too late.

  1. 01

    Late warning signs

Risks like a short runway were only noticed in the next review meeting.

  2. 02

    Inconsistent health checks

Each person judged a startup's health differently, so scores could not be compared.

  3. 03

    Unclear accountability

It was not obvious who owned which startup between portfolio heads and managers.

  4. 04

    Manual effort every cycle

Every review meant chasing spreadsheets, emails and founders for the latest numbers.

03Design

Shaped around how an incubator really works.

We mapped how an incubator actually operates, from collecting founder data, to monthly health reviews, to introducing startups to investors, and shaped it into one experience that changes with the role of the person using it: Admins, Portfolio Heads and Portfolio Managers.

  • Role and access model

Who can see and do what, from admins down to portfolio managers.

  • Health and investibility scoring framework

One consistent way to rate every startup.

  • UX workflows

From founder submission to monthly review to investor introduction.

  • Design system

A shared set of components so every screen feels like one product.

One product, four views

  • AdminThe full picture across every startup and every portfolio.
  • Portfolio HeadOnly the ventures they head.
  • Portfolio ManagerOnly the startups assigned to them.
  • FounderTheir own data request, through a secure link. No account needed.

04Build

Eight modules, one portfolio cycle.

We developed a modular platform. Each part does one job, and together they cover the full portfolio cycle.

  1. Startup directory
  2. Health assessments
  3. Runway tracking
  4. Milestones
  5. Founder submissions
  6. Mentor Connect
  7. Demo Day pitching
  8. Live Sector Intelligence
01 / 05

Portfolio directory with red-flag detection

Every startup in one table: sector, stage, technology readiness, health, investibility grade, red flags and runway. Risks like short runway or overdue milestones are flagged automatically.

05 · Secure

From demo data to a database that enforces the rules.

The first version ran on demo data in the browser. We moved it to a secured backend where access is enforced by the database itself, so permissions never depend on what the screen happens to show.

  • Row-level security by role

The database only returns the rows a person is allowed to see.

  • Invite-only staff authentication

Staff join by invitation. There is no open sign-up.

  • Hashed, expiring founder links

Founders update their data through secure links that expire, with no account to create.

  • Audit-ready activity logs

Every action is recorded, ready for review.

06Outcome

From chasing spreadsheets to acting on live signals.

Folio OS gives the incubator a single source of truth for its portfolio. Every startup is continuously scored on health and investibility, and risks such as short runway, overdue milestones and pending data requests are flagged automatically. Review cycles shift from chasing spreadsheets to acting on live signals, and sector, regulatory and funding intelligence sits alongside the portfolio data.
